Billing checklist

Before the next cutoff

Ask these questions while there is still time to recover the backup.

  1. Which completed units have not reached the billing package?
  2. Does every line have a ticket, daily report or other source record attached?
  3. Are T&M and force-account time, equipment, materials and rates supported?
  4. Are quantity gaps or prior-billing conflicts identified for review?
  5. Can the customer follow the charge back to the work without a separate folder hunt?

Verification checklist

Before approving payment

Separate what is supported from what still needs evidence or a decision.

  1. Do the claimed units match the field and source records?
  2. Has the same ticket or work already supported another charge?
  3. Do the billed rates match the applicable contract or evidence-backed rate?
  4. What documentation is missing, conflicting or ambiguous?
  5. Is the reason for approval, exclusion or further review preserved?

Put the checklist against real work.

One project and one workflow can show where the proof trail is already strong and where it still breaks.
